Every year, at the Association's annual meeting, The Board seeks nominations from member institutions to host the following two years' meetings. Hosting a meeting is a wonderful opportunity for institutions to showcase their campus and ROTC program, while giving members the opportunity to network and share experiences. ​
 Host school makes recommendations for a nearby hotel that accommodates below.  Association administrator handles the details.
  • ​Check in to the hotel will be on a Thursday and check out on Saturday. 
  • Block of 30 hotel rooms for Thursday and Friday
  • Event space for; 
    • Registration area with (1) 8’ table, 4 p.m. - 7 p.m.
    • Conference table for 16 people for Executive Committee and New Member Orientation 4:30 p.m. - 6:30 p.m.
    • Welcome Reception in a private space for about 40 people, 6:30 p.m.- 9 p.m.​​
​Friday - Host School plans the Navy Day activities,
​8 a.m. - 1 p.m. 
  • Host school plans the day, selects sites to visit.
  • Host school pays museum/ entrance fees, if applicable.
  • Lunch is paid by the Association. 
  • Business Meeting (part 1) begins after lunch and ends at 4 p.m.
  • Reception and dinner (30-35 guests), on campus or at hotel. All expenses paid by the host school.

​Saturday - Host School organizes the business meeting (30-35 attendees), which typically takes place on campus. Below expenses are paid by host school: 
  • Business Meeting (part 1), Friday, 1 p.m. to 4 p.m. 
  • Business Meeting (part 2), Saturday, 8:30 a.m. to 1:30 p.m. 
  • Meeting setup for 30 - 35 attendees
  • Morning and afternoon coffee breaks
  • Lunch buffet on campus ​
